Frequently Asked Questions: Wireless Printers
What is a wireless printer?
A wireless printer is a printer that communicates with other devices without any cables. This is only required for the power supply. Apart from this function, a wireless printer hardly differs from a normal printer. Often the devices also offer optional connections via cable, Bluetooth or other means, if a certain device should not have WiFi.
This means that a wireless printer does not have to be in the same place as the device itself from which the file to be printed is sent. A wireless printer is of course a very practical alternative to conventional printers, especially on desks where there is little space, or for mobile printing.
How does a wireless printer work?
As an inkjet printer or as a laser printer. The only difference is the wireless transmission via WiFi, which makes a cable superfluous. For this purpose, the printers contain a special chip and an antenna with which they can process the corresponding radio signals.
Wireless printers can be easily integrated into a network so that several computers can access them at the same time. The simplest example of such an integration is a wireless printer that is connected to the router of a home network. But there are also much more complex solutions, as are common in large companies.
In order to be able to establish this connection between the device outputting the file and the wireless printer, a connection must first be established via the respective network to be used. For this it is necessary to enter the network key that belongs to the corresponding network after the installation of the wireless printer. If this network key matches the network being used, the file to be printed can be transferred via the WiFi and printing can be initiated.
What are the advantages of a wireless printer?
The biggest advantage of wireless printers is the simple and uncomplicated connection with end devices. The annoying laying of cables is no longer necessary, as all devices can communicate wirelessly with the printer. This means that the printer can easily be moved to another location. All you need is a connection to a power outlet. With wireless printers it is also much easier to use different devices at the same time. Normal printers usually only offer a single connection for this.
This means that only one computer can be used with it or a comparatively complicated solution has to be found in a network. Wireless printers, on the other hand, can be addressed by different devices at the same time, even if no dedicated network has been created for them. This is particularly useful for families. Everyone can easily use the same printer without having to look for the cable or negotiating special permissions in the network. How many connections are possible at the same time, however, varies from device to device.
However, wireless printers have long been used not only in the private sector, but also in companies of all kinds. Small companies as well as medium-sized companies and large corporations have long recognized the advantages for themselves. The spontaneous change of a workplace, new employees or similar incidents no longer cause long reconfigurations with a wireless printer.
Even if the company moves completely to a new location, the set-up effort is very low compared to a cable-operated printer. This can save some companies a lot of money by eliminating the need for an expert to install.
IT departments are also happy that they have more time for more important problems in the network, such as security or communication between employees.
Basically, a wireless printer can be used anywhere where a normal printer could be used. There are numerous advantages in use, especially with regard to convenience. The print quality and the speed are not per se superior to conventional printers.
As usual, there are sometimes considerable differences from printer to printer. For this reason, it is worth taking a look at our wireless printer test before buying.
Wireless printer for offices
Such wireless printers are particularly suitable for open-plan offices and offices with several rooms but only one printer. For this it is necessary that all are connected to one another via the same WiFi network, that the printer has been installed and that the appropriate network key has been entered. In this case, the wireless printer works as a network printer. The proximity to the printer itself does not matter, since printing is wireless. With a correspondingly stable network, the print quality is, by the way, no different than is the case with printers that output the device to the file via a cable
Wireless printer for the home
Such wireless printers are not only suitable for working in the office, they are also suitable for private use. With such a printer with WiFi connection, it is sufficient to buy a single printer for a household, because several have to be bought at once. No matter how big a household is, whether a multi-person household with a family or a shared flat, a wireless printer is suitable for all types, shapes and sizes of households. Of course, this also applies to single households, especially those with little space. The wireless printer can then be placed where it does not interfere and does not have to be in the immediate vicinity of the device that outputs the file for printing. A wireless printer is therefore suitable for all households, whether just a single person or a large multi-person household.
Wireless printer for on the go
A wireless printer is suitable for offices and private households. A wireless printer is just as suitable as a mobile printer for on the go. Not every wireless printer is suitable for this if it exceeds a certain size and weight. But especially when files are to be printed out from the smartphone or tablet, a wireless printer is suitable for at home, for the office and also for traveling.
What types of wireless printers are available?
The selection of wireless printers is just as large as with all other printers. First of all, users have the choice between laser printers and inkjet printers. Both variants have their own advantages and disadvantages. Laser printers are generally easier to maintain because the toner used, unlike ink, cannot dry up. This means that streaks or similar undesirable phenomena do not occur even after frequent printing. The prints tend to last longer than an inkjet printer, while at the same time the printing speed is faster. However, laser printers cannot do without their disadvantages.
Quite a few are likely to be put off by the quite high entry costs. In direct comparison, laser printers are almost always more expensive than comparable inkjet printers. The power consumption is also significantly higher and some laser printers can also release harmful substances during printing. This is not a problem for most healthy people, but sensitive people should definitely take this into account when making a purchase decision.
Inkjet printers offer a very affordable entry point and still offer good printing results. However, the print heads must be cleaned regularly to ensure that long-term good prints are made. The printer does this fully automatically, but uses valuable ink every time.
This is very expensive and more expensive than most toners for laser printers. Overall, the maintenance costs for laser printers and inkjet printers are balanced. Inkjet printers make up for the more expensive ink with their lower electricity costs.
Wireless printers are not only available in the form of classic printers, but also as multifunctional devices. This allows users to scan documents or use the printer as a fax machine, for example. The advantage is obvious. Only one device is required for a wide range of functions.
The only disadvantage is the higher acquisition costs and the somewhat more complex maintenance. Such all-in-one solutions are still worth considering, especially for a home office.
Furthermore, when buying a wireless printer, it is of course important whether printouts should only be made in black and white or whether the printer must also provide color printouts. Another criterion is whether an ink printer is preferred or whether it should be a laser printer.
Wireless printers are now available in so many different versions that we can only recommend taking a look at our current wireless printer comparison winners and finding the right one for yourself, your family or your company and the office among the best of the best printers.
Finally, there are also wireless printers in the form of special photo printers. They are fully specialized in photographs and can, among other things, print on special paper and in common photo formats. The main advantage is the ease of use. Many models do additional tasks such as cropping photos completely automatically, so that perfect photo prints are always successful. However, such printers are not always suitable for documents and other content. They are therefore more suitable as a supplement to an existing printer, but cannot completely replace it.
How to install & setup a wireless printer?
The exact process for connecting a wireless printer can vary from device to device. Nevertheless, we would like to offer general assistance at this point.
First of all, it is important that WiFi is activated on the printer itself. Exactly this is not always the case in the delivery state. Some wireless printers have a dedicated button for activating and deactivating the WiFi function. If such a function is not available, you will have to look around in the printer menu for a corresponding function.
If the WiFi is activated, the printer automatically creates its own network. A direct connection to a computer without an intermediate router requires a peer-to-peer connection, also known as ad hoc. This can be produced very easily. Simply search for local WiFi networks on your computer. In Windows, this is possible in the network settings for older versions. Starting with Windows 7, a click on the WiFi symbol in the task bar is sufficient.
The latter also applies to Mac OS version 10 or higher. In the selection list, look for a network that listens to the name of your printer. The exact wording may differ. With HP printers, the network is called “HP” by default, other manufacturers name it after the device name of a printer, for example “BC1101”.
With other models, the network may simply be called “WiFi Printer” or “Wireless Printer”. If you cannot find an entry that goes in such a notch, just take a look at the manual.
Once the right network has been found, simply click on it to connect. In most cases there is no need to enter a security key and all further steps are carried out automatically by the PC and printer. Once the connection has been established, the installation of the printer software begins; the drivers are particularly important here. Most manufacturers offer clear installation routines for this. Some of these can be found on the CD supplied, otherwise the program must be downloaded from the Internet.
During installation, make sure to select the option »Wireless« or »WiFi« when prompted to do so.
Another tip: Avoid options such as an »express installation« if possible. It is not uncommon for manufacturers to want to give you software that you do not need at all.
Instead, choose the option for an advanced installation, where you can select and deselect all features individually as required.
How are wireless printer tested?
In the wireless printer test, models from different manufacturers have to prove themselves. We take a close look at the devices and explain the advantages and disadvantages in detail. We’ll tell you below what we attach particular importance to. Only if a wireless printer can convince in every category does it have a chance of being awarded the title wireless printer comparison winner.
No question about it, print quality is probably the most important discipline for any printer. Even if everything else is right, users can do little with a device that fails in its main discipline. In the test, we run numerous printouts from all imaginable categories. This enables us to show you whether a printer can handle documents as well as photos and other content or whether there is still some catching up to do.
The faster a printer prints, the more pleasant it is of course for the user. In the test, we will tell you exactly what waiting times can be expected for the individual wireless printers. Of course, we also take the options that a printer offers into account. Often documents can be printed out particularly quickly at the expense of quality. In the test, we check whether the results are still satisfactory or whether such functions are not recommended.
When purchasing a wireless printer, it is not uncommon for the user to focus on simple installation. In the wireless printer test we are therefore putting the test to the test. We check every printer to see how easily and quickly it can be connected to other devices such as a computer. In addition to the wireless variant, we also try out wired connections and also take a close look at the integration into an existing network.
Not all WiFi is created equal. How far a wireless printer can transmit depends largely on the antenna used. In the test, we check the range both in rooms with and without walls. We will also tell you whether a new antenna can be installed if necessary to increase the range.
In this category, everything revolves around how economical a printer is with its resources. It should use as little ink or toner and electricity as possible so that the running costs are as low as possible. Based on our test runs, we can roughly estimate the costs you have to expect with certain printers.
Features & Functions
If a wireless printer offers us more than just printing out documents and photos, we test these additional functions very carefully. We will reveal whether everything works as advertised and whether these features are also easily accessible. In addition, we also give an opinion on whether certain functions are even useful. For example, a quick print function cannot be used if the quality of the printouts is too low.
ADF (Automatic Document Feeder)
The ADF is the automatic document feeder, also known as the automatic document changer. With the ADF (Automatic Document Feeder) it is possible to have a number of documents scanned in automatically. The respective documents are then placed in the feed area as a stack of paper, the desired function, scanning or copying, then takes place automatically. Such a function is particularly important for wireless printers that are used in offices. The ADF can also be useful for students who scan or copy stacks of paper from the university. Or for private households who digitize their documents and want to burn them onto a CD or DVD in order to secure them. Anyone who buys a wireless printer and scans or copies often and a lot should definitely pay attention to this ADF function.
A very important function of a good wireless printer is Wi-Fi direct. With this function it is possible that the printer cannot only be connected to the network whose key it has. But that the connection with the smartphone and the tablet are also possible. Wi-Fi direct is an important function of a wireless printer and should be included if possible.
A central access point such as a network is then no longer necessary for printing, but printing can be commissioned and carried out without participating in such a network and corresponding network functions.
Not everyone needs a wireless printer that includes this test criterion. Nevertheless, when buying such a printer, care should be taken to ensure that you are well equipped for the future. Because maybe the time will come when print jobs should be initiated from the smartphone. If the wireless printer you have bought lacks this Wi-Fi direct function, you end up being annoyed about the purchase yourself.
Before the introduction of AirPrint, anyone who wants to initiate and have print jobs carried out using a wireless printer via mobile devices had to install the software on their smartphone or tablet so that mobile print jobs were possible. In 2010, the technology group Apple developed the AirPrint function, which makes it possible for smartphones and tablets with the iOS operating system to issue wireless print jobs. Documents and photos as well as emails and the content of websites can be printed out from the mobile device on the wireless printer using AirPrint. AirPrint has been available for iOS devices since iOS version 4.2 and can be used with the iPhone and iPad.
The function can also be used from the 3rd generation of the iPod touch. With AirPrint, it is no longer necessary to install software or a driver to print the files that are sent to the wireless printer by the mobile device. If you use the corresponding smartphones and tablets from Apple, AirPrint enables you to wirelessly print out documents and the like without the storage space of the device being additionally reduced by drivers or software. Not every wireless printer has the AirPrint function.
However, if you use Apple mobile devices such as the iPhone, you should make sure that this function is included when buying a printer. Even if it may not be needed at the moment, the time could come and then the function is there and there is no need to invest in a new printer.
Not everyone needs their own email address for their wireless printer. For some this may be an unimportant frills, for others it is a technical advancement that is groundbreaking. With an email address belonging to the wireless printer, it is possible to issue print jobs to the printer via this email address. As a result, the device with the file to be printed does not have to be connected to the network belonging to the wireless printer, but can be located anywhere in the world where there is internet and emails can be sent.
This means: whoever has the email address that belongs to the printer can also issue the corresponding print jobs. It is therefore important to handle this email address carefully, but also that the printer is switched on and that there is enough paper and ink in the wireless printer. On vacation as well as on business trips, documents and photos can be printed out at any time without having to be close to the network belonging to the WiFi printer.
This offers users of such printers previously unimagined mobility options. At trade fairs and events, for example, a printer no longer has to be carried around, but the print jobs are sent by email to the email address of your own wireless printer at home or in the office.
This is not only much more practical, but also offers the possibility of working with the printed files and photos in the office without the associated files themselves having to be in the network. This means that you can work and print out quickly and easily anywhere in the world. Anyone who can buy a wireless printer that has such an email address should try this out. Nowadays, printing is hardly more practical or easier.
A wireless printer that is connected via the network to the devices that trigger the print jobs does not necessarily require a cable connection to the corresponding device. Nevertheless, a USB port is an important test criterion for us in a wireless printer, as this connection option is required for times when, for various reasons, no connection to the network is possible, but printing should still be done.
If such a USB port is not available, the wireless printer can only print if it is either connected to the respective network, or print jobs can be triggered via Wi-Fi Direct or AirPrint (for more on this see the corresponding test criteria). It is therefore advisable, especially if the network and network functions fail, to have a wireless printer with a USB port and not a printer that has no cable connection to the printer.
Users expect their printer to work smoothly with their own devices. But that is by no means always the case. Some devices refuse to work under certain operating systems or they do not work with mobile devices such as tablets and smartphones. We also go into this topic in detail in our product reports and tell you which printer you can use all of your devices with and which restrictions may be expected.
At this point, we are primarily concerned with how reliably a wireless printer works under high loads and over long periods of time. For this purpose, we simulate a multi-year load and pay attention to whether there are more errors in the printout. This could be a frequent paper jam or a gradual decrease in print quality. In the best case scenario, a printer will still work as it did on the first day, even after a long time.
Finally, we check for each WiFi printer whether the manufacturer’s estimate for the device is justified. Even if a printer can convince in all categories and does not allow itself to make any mistakes, the price should not be too high. We compare the devices with similarly equipped models from competing suppliers and tell you where you can expect fair prices and which wireless printers the manufacturers are asking too much for.
What do I have to look out for when buying a wireless printer?
With a wireless printer, the best possible print quality is important. After all, the convenience of a wireless printer is of little use if the quality of the prints is not convincing, fonts are warped or not all details can be seen in photos. How high the quality has to be, however, depends on your own requirements.
If you just want to print out a few documents now and then, you don’t have to go all out here. For this purpose, mid-range WiFi printers are completely sufficient to produce clear fonts without blurred areas. However, if photos are to be printed with a printer, preferably on glossy paper, a slightly higher quality is required. In this case, make sure that a wireless printer does not have any problems with color gradients when dealing with multiple colors and that even high resolutions are displayed true to detail.
Such information is of course rarely found on the packaging of a device and the manufacturers themselves promise too much time and time again. That is why it is worth taking a look at our wireless printer test. There we reveal exactly how high the quality of the printouts is for numerous models from different brands.
Compatibility and installation also play an important role when buying a wireless printer. Make sure that you can connect a printer to your devices or your network quickly and without extensive prior knowledge. In addition, the printer should of course work with all devices that you use in everyday life. In addition to the computer or notebook, this also includes tablets, smartphones and digital cameras.
If you only want to use WiFi in addition and cannot completely do without a cable connection, you also have to pay attention to a corresponding input. If you don’t already have one, you usually have to purchase an additional printer cable when you buy it. Manufacturers only rarely include this with their printers.
Additional functions such as a scanner or a fax machine can be a useful addition. The higher purchase price is only worthwhile if you actually use these features. So think carefully whether you have to deal with photocopies or the fax machine regularly or whether this only occurs a few times a year. If the latter is the case, it is better to choose a less lavishly equipped model. You then not only benefit from a lower purchase price, but often also from lower follow-up costs due to lower power consumption.
Of course, the price is always an important issue when buying a wireless printer. We can only advise you not to spend more than necessary, but also not to save in the wrong place. If you opt for a device that is too cheap, you often regret it after a short time, as defects can occur or the quality is simply not convincing.
Conversely, a top model is of little use to a user who rarely uses the printer and does not even place high demands on a printout. Therefore, find out about the individual wireless printers before buying and weigh up which functions you need and what you can do without. It is also worth comparing prices from different retailers in order to find the currently cheapest offer.
Wireless Printer Accessories
The most important accessories for every printer are suitable ink cartridges or toners. This is often not an issue at the time of purchase, as suitable models are already included. However, these are always only the smallest sizes.
If you want to print a lot right away, you should therefore take some extra cartridges with you when you buy. By the way, you do not have to resort to expensive cartridges from the manufacturer, you can also choose inexpensive alternatives. It is only important that these support your own printer.
There is also the possibility of refilling cartridges from inkjet printers. You can do this yourself at home with an appropriate kit, or you can hire an expert to do it. The advantage is obvious. The cost is much lower in comparison than buying new cartridges.
However, new cartridges should be used from time to time, as these also come with new printheads. In order to avoid a decrease in print quality, the cartridges must therefore be replaced at least after every third filling.
In addition to ink, of course, printers need paper to function properly. For normal documents, simple printer paper, as sold in almost every supermarket, is sufficient. If you have slightly higher demands and want to print out photos or attractive invitations, for example, look around for glossy paper. This is often sold as “photo paper” and is available in different sizes. However, we would like to advise you to only use this type of paper for special occasions or for photographs, as the costs are significantly higher compared to normal paper.
Wireless Printer Alternatives
There are no real alternatives to a wireless printer. It is only possible to connect a cable printer to a router using a network cable, if both devices have an Ethernet port. In this case, computers can still access the printer wirelessly via the router. A direct connection between printer and PC is then no longer possible.
